Free Hub Admin Agreement
Last updated: 2026-10-26
This Agreement is between RYSI Labs Pty Ltd, trading as Fanzava (“Fanzava”, “we”, “us”), and the person or organisation creating a Hub on Fanzava’s Free plan (“you”, “Hub Admin”, “Promoter”). It is in addition to the Fanzava Platform Terms of Use and the Fanzava Privacy Policy, both of which apply to your use of the Platform.
You must accept this Agreement to create or continue operating a Hub on the Free plan.
1. Free Plan Scope
1.1 What the Free plan provides. The Free plan is a no-cost tier of the Platform intended for evaluation, hobby use, and small-group competitions. It is not a free trial; you are not required to upgrade. The Free plan is capped at 25 participants per hub, with one concurrent competition and one group. These and other Free-plan limits are published on the Pricing page and may be updated from time to time on reasonable notice.
1.2 What the Free plan is not. The Free plan is not suitable for, and you must not use a Free Hub for:
- public-facing promotional or advertising campaigns;
- competitions involving prizes, rewards, sweepstakes, gift cards, vouchers, or any chance-based mechanic;
- any competition operated by or on behalf of a regulated entity (gambling, alcohol, tobacco, financial services) where participant identification or marketing-consent capture is part of the campaign objective; or
- enterprise compliance use cases requiring single sign-on, custom domains, custom email senders, data residency, or contractual processing terms.
If you intend to run any of the use cases above, you must upgrade to a paid plan and accept the terms of that plan (and, for Enterprise, a Master Service Agreement).
2. Restrictions Specific to Free Hubs
2.1 No prizes. You may not advertise, offer, or distribute prizes, rewards, vouchers, gift cards, or any other thing of value tied to participation outcomes on a Free Hub. Hubs that violate this rule may be suspended without prior notice and may be required to upgrade or delete the affected competition.
2.2 Skill-only mode. Free competitions must be configured in the Platform’s Skill mode (deterministic scoring with deterministic tie-breaks). Random tie-breaks, spin-to-win, lucky-draw mechanics, and any chance-based winner allocation are disabled on Free Hubs.
2.3 Closed or limited-public audience. Free Hubs are intended for known audiences such as colleagues, friends, or community groups. Free Hubs are not optimised for public discoverability and may be excluded from search-engine indexing at Fanzava’s discretion.
2.4 Marketing and CRM use. Free Hubs may not export participant data to a third-party CRM, marketing automation system, or advertising audience. Free Hubs may not be used to harvest contact details for downstream marketing purposes. CRM and webhook integrations are not enabled on the Free plan; CRM and chat integrations begin at the Growth tier.
2.5 Hub branding and the Fanzava watermark. Free Hubs are hosted on Fanzava-branded URLs (yourhub.fanzava.com), display the Fanzava watermark, and include a “Powered by Fanzava” link. These elements are part of the Free plan and may not be removed, hidden, or visually obscured. Removal of these elements is available on Starter and higher paid plans.
2.6 Advertising on Free Hubs. Fanzava may display advertising on Free Hubs, including its own promotions and ads from third-party advertisers, which may be served through programmatic ad networks, for example in email headers or footers and in-platform surfaces. Ads on Free Hubs are contextual, not personalised to individual participants, and are labelled and appear only in designated ad slots. Fanzava does not show betting or gambling ads. You cannot choose or block individual advertisers; upgrading to a paid plan removes all ads. Disclosure of this advertising to participants is Fanzava’s responsibility and is provided in the Fanzava Platform Privacy Policy.
3. Promoter Status and Participant-Facing Documents
3.1 You are the Promoter. Notwithstanding the Free plan’s hosted nature, you are the legal Promoter of any competition you run on a Free Hub. You are responsible for the legality of the competition design and any participant-facing claims you make.
3.2 Hub Competition Terms. Fanzava provides a starter template for Hub Competition Terms as a courtesy. Whether your competition needs terms, and what they contain, is your responsibility. You do not publish a separate privacy notice: on Free Hubs, Fanzava is the controller of all participant information, and the Fanzava Platform Privacy Policy is the privacy notice for your participants. The template is not legal advice; if you publish terms, you remain responsible for ensuring they are accurate and comply with applicable law.
3.3 Minimum age. Your competition must observe the Platform minimum age of 13, and any higher minimum age you set for your Hub.
3.4 Participant information. You can see participant information on your Free Hub, and export a participant list (section 4.3), only so that you can run your competition. You must not use it for any other purpose, including marketing. You are responsible for any copy you export, including keeping it secure and deleting it when the competition ends.
4. Support and Service Level
4.1 Support. Free Hubs receive community support only. You may post questions in the Fanzava community forum or help centre. Fanzava does not commit to a response time for Free-plan support requests. Critical platform-integrity issues (security incidents, abuse reports) are triaged by Fanzava regardless of plan.
4.2 No service-level commitment. The Free plan does not include any uptime guarantee, response-time guarantee, or service-level commitment. The Platform is provided on an “as is” and “as available” basis.
4.3 Limited data export. Free Hubs include participant-level CSV export for the Hub Admin. API access, bulk programmatic export, and webhook event delivery are not included on the Free plan; API access begins at the Growth tier.
5. Suspension, Limits, and Termination
5.1 Plan limits. Free plan limits, including the 25-participant cap and single-competition concurrency, are enforced. When a limit is reached, new joins or competition creation are blocked until you upgrade or reduce participants.
5.2 Suspension for breach. Fanzava may suspend or delete a Free Hub without prior notice if:
- the Hub is used for prohibited purposes (sections 1.2 or 2);
- the Hub is the subject of a legitimate abuse report or legal notice; or
- the Hub is being used to evade rate limits, plan limits, or platform-integrity systems.
Inactive Free Hubs are handled under section 5.3, with notice.
5.3 Inactivity policy. To keep the Free tier sustainable, Fanzava archives and then deletes Free Hubs that remain inactive. A Free Hub is inactive when neither the Hub Admin nor any participant has signed in or taken any action in it. Automated platform activity, such as scoring, automatic picks, and scheduled emails, does not count. Measured from the last such activity, and at the earliest:
- at 60 days, Fanzava emails the Hub Admin a warning;
- at 90 days, the Hub is archived and taken offline, participants can no longer access it, and Fanzava emails you to say so and how to restore it;
- at 120 days, the Hub is marked for deletion; and
- at 150 days, the Hub, its competition data, and the participant accounts held in it are permanently deleted.
You can bring an archived Hub back online at any time before day 120 by signing in and choosing to reactivate it. Between day 120 and day 150, you can ask us to restore it by contacting support. After day 150 the Hub cannot be recovered.
Because each participant account belongs to a single Hub, deleting a Free Hub does not affect any account a participant holds in another Hub. This policy does not affect participant deletion rights, which apply at any time on request.
5.4 Termination by you. You may delete a Free Hub at any time from Hub Settings. Deletion is subject to participant deletion rights under the Privacy Policy.
6. Upgrade Path
You may upgrade a Free Hub to a paid plan at any time. Upgrades preserve all Hub configuration, participant data, and competition history without re-setup. The Free-plan limits and restrictions in this Agreement cease to apply on upgrade and are replaced by the terms of the relevant paid plan (and, for Enterprise, the Master Service Agreement).
7. Liability and Indemnity
7.1 Limitation of liability. Fanzava’s liability under or in connection with this Agreement is governed by the liability section of the Fanzava Platform Terms of Use, including the cap set out in those Terms.
7.2 Indemnity. You indemnify Fanzava against any third-party claim arising out of: your competition design or operation; participant-facing content or claims you publish on the Hub; your breach of this Agreement, including the prohibited-uses list in section 1.2; or participant information that you use in breach of section 3.4 or applicable law. This indemnity applies to the extent the claim arises from the matters above, and is conditional on Fanzava notifying you promptly of the claim and not settling it without your prior written consent (such consent not to be unreasonably withheld).
8. Acceptance
By clicking “I agree” or by continuing to use a Free Hub after the effective date of this Agreement, you accept this Agreement.
